1. Scope

This Privacy Policy explains how Dispatch ("Dispatch," "we," "us," or "our") collects, uses, stores, and discloses personal information through dispatcheventops.com, the Dispatch event operations application, and related signup, communication, document, and support services (collectively, the "Services").

Event operators may use Dispatch to collect information from their clients, guests, staff, and other event participants. In those cases, the event operator determines why the information is collected and Dispatch processes it to provide the Services.

2. Information we collect

Information you provide

  • Business and account information, such as name, email address, business details, and authentication information.
  • Event and operational information, including client, venue, staffing, service, quote, booking, payment-status, and event notes.
  • Guest information, including name, email address, mobile number, selected service, queue status, age confirmation, and event-specific preferences.
  • Electronic records, including waiver text, typed signatures, acceptance timestamps, document versions, and signed document copies.
  • Support communications and feedback you send to us.

Information collected automatically

We may collect device and usage information such as IP address, browser type, pages or features used, timestamps, diagnostic events, security events, and similar technical data needed to operate and protect the Services.

On our marketing site, our first-party analytics records the page path, a random session identifier that expires when the browser session ends, broad device category, referring website, campaign parameters, and interactions with trial or demo links. We do not include names, email addresses, raw IP addresses, or full user-agent strings in marketing analytics records. Analytics collection is disabled when a browser sends a Do Not Track or Global Privacy Control signal.

3. How we use information

We use personal information to:

  • Provide, maintain, secure, and improve the Services.
  • Create and administer event, guest, waiver, and communication records.
  • Send requested transactional emails and event-specific SMS updates.
  • Generate and deliver signed document copies.
  • Authenticate users, prevent misuse, troubleshoot problems, and provide support.
  • Comply with applicable law, enforce our terms, and protect the rights and safety of Dispatch, event operators, and participants.

4. SMS communications

Dispatch EventOps SMS: When you separately opt in during an event signup, you may receive transactional event-related messages, including registration confirmations, queue and service-status updates, schedule or location changes, operational instructions, and event-support replies. Message frequency varies based on event activity. Message and data rates may apply. Reply STOP to unsubscribe or HELP for help. Consent to SMS is not a condition of purchase or participation.

We use mobile numbers and SMS consent only to provide the event-specific communications described at the point of collection. We do not sell or share mobile numbers or SMS consent information with third parties or affiliates for their marketing or promotional purposes.

Mobile information may be disclosed to service providers that help us deliver messages, such as telecommunications providers, but only as necessary to provide the requested communications. Carriers are not liable for delayed or undelivered messages. Messages relate only to the event for which the recipient registered.

5. How we share information

We may disclose information:

  • To the event operator responsible for the event and authorized members of its team.
  • To service providers that host infrastructure, store files, process communications, support payments, provide security, or otherwise help operate the Services.
  • When required by law, legal process, or a valid governmental request.
  • To protect rights, safety, and security or investigate fraud and misuse.
  • In connection with a merger, financing, acquisition, reorganization, or sale of assets, subject to appropriate protections.

We do not sell personal information. We do not use guest waiver or contact information for unrelated advertising.

6. Retention and security

We retain information for as long as reasonably necessary to provide the Services, maintain event and signed-record histories, comply with legal obligations, resolve disputes, and enforce agreements. Retention periods vary depending on the record and the event operator's requirements.

We use administrative, technical, and organizational safeguards designed to protect information. No storage or transmission method is completely secure, and we cannot guarantee absolute security.

7. Your choices and rights

You may unsubscribe from SMS messages by replying STOP. You may contact the responsible event operator or Dispatch to request access, correction, or deletion of personal information, subject to legal, security, and record-retention requirements. Depending on where you live, you may have additional privacy rights under applicable law.

The Services are not directed to children under 13. Event operators are responsible for applying appropriate age and consent requirements to their events and services.

8. Changes to this policy

We may update this Privacy Policy as our Services or legal obligations change. We will post the updated policy here and revise the effective date. Material changes may also be communicated through the Services or by email.
